How to Create a SharePoint Site for Projects [MAKE YOUR LIFE EASIER]

Hmm. As an IT guy and Microsoft 365 teacher and admin who also builds SharePoint intranets I have a few comments.

My absolute first is why not create a Teams team for your project to start with? This adds chat group chat and meeting capabilities as well as extensibility with approvals and updates to the project and makes it easy to converse around topics. Create teams channels that in turn creates your underlying document library folder structure for you.
Second if you have a really important document you want to highlight, link to the doc directly. Otherwise linking to a folder like this kinda makes it work only if the folder contains just that hero document and nothing else. And as you mentioned yourself, SharePoint document versioning makes changing the document name for versioning or dating redundant.

In your Hero part it makes sense pointing at meeting notes which I suspect is yet another folder? Or if not a folder, a OneNote notebook? With Teams you get agenda and collaborative meeting notes with the meetings instead.

Also for anything progress tracking related or schedule use the group calendar planner for tasks or a SharePoint list instead of just a spreadsheet. Lists are possible to automate, and can be a data source to a spreadsheet instead for analytics in excel. And it can be easily visualized in PowerBI.

Also if you work with document templates or macros in excel you should set the document library to always open documents in the desktop art by default for full functionality. (If working with several projects or if you access your documents from Teams there is a general setting for opening documents in the desktop app.

I’m for building out a SharePoint site with your teams team for news and navigating and would generally add the team site as a tab in the general channel of the project team for easy access. That way you get the best of both worlds. A collaborative team with quick easy chats and meetings on top of a project micro intranet and you’ll never have to send a single email to any project member apart from the invitation to the team!

I need help with using SharePoint for work. My boss is trying to have me create a SharePoint webpage for new customers new employees, especially employees that need information about what their job is, putting in job applications as a PDF files forms applications that anybody can go to in fill out but the main question is how do I know or she know that the PDF files that we put into SharePoint how do we know that the people are done with it? How do we share some information that other people who are not in the organization have access to. Please and thank you

Love the idea, but using a tool like Asana or Jira is much better. They are built for project management out of the box and integrate with M365 and Google. Plus, collaboration is much easier too.
